Who we are

Definitive Water Technologies (registration 2009/137701/23) operates this website as a trade catalogue and quotation service for water treatment components, with branches in Cape Town and Johannesburg. This notice describes how we handle personal information under the Protection of Personal Information Act, 2013 (POPIA).

What we collect, and why

The catalogue is browsable without providing any personal information. We collect personal information only when you submit it — through the quote request form (name, company, email address, phone number, and the contents of your enquiry) or by contacting a branch directly. We use it for one purpose: responding to your enquiry with pricing, availability and technical advice, and administering any resulting business relationship.

What we do not do

• We do not sell, rent or share your information with third parties for their marketing.
• We do not add you to marketing lists without your consent — submitting a quote request subscribes you to nothing.
• This website sets no advertising or analytics tracking cookies. Only cookies strictly necessary for site operation (such as administrator sign-in) are used.

Website statistics and your browser

We count visits with Plausible Analytics, which we run on our own server. It sets no cookies and stores no personal information: it records the page visited, the referring site, the browser, device type and country, and uses an anonymised code that changes every day instead of your IP address, so individual visitors cannot be identified or followed from one day to the next. When you send a quote request or enquiry, it also records that one was sent, the branch you chose and the number of items, never your contact details or your message.

The products you add to your quote list, and any draft in the treatment train designer, are kept in your own browser (its local storage) so they survive a page reload. They reach us only when you send a request. Clearing this site’s data in your browser removes them.

Service providers

We use a small number of service providers to run this website and handle enquiries, each only for that purpose: our hosting and database, the service that delivers quote requests to our inboxes by email (Resend, based in the United States), and the AI tools described below. Some of these providers process information outside South Africa. We use them only where the transfer meets the conditions of section 72 of POPIA, such as the provider being bound by data-protection obligations comparable to POPIA’s.

Use of artificial intelligence

We use artificial intelligence (AI) tools in parts of our work:

• Product images. Some product images on this site are generated or edited with AI from manufacturer references and checked by our staff. They illustrate the product and may differ in detail from the item supplied; the specifications on the product page describe what you order.
• Website content. Some text, including parts of the knowledge base, is drafted with AI assistance and reviewed by our team before it is published.
• Enquiries. We may use AI tools to help us process the information you send us, for example to match your request to products or to prepare a reply. Some replies are prepared and sent automatically by AI. Quotations and order confirmations are always issued by our staff, and no decision about you with legal or similarly significant consequences is made solely by automated means (section 71 of POPIA). Where an AI tool processes your personal information, its provider acts on our behalf and may do so outside South Africa (see Service providers above). If you would rather we did not use AI tools on your enquiry, say so in your message or email us at the address below.

Storage and security

Quote requests are stored in access-controlled systems available only to DWT staff who handle enquiries. We retain enquiry records for as long as needed to serve the business relationship and to meet legal record-keeping requirements, after which they are deleted.

Your rights

Under POPIA you may request access to the personal information we hold about you, ask us to correct it, or ask us to delete it where we have no ongoing lawful basis to keep it. Send requests to sales@definitivewater.co.za and we will respond within a reasonable time. If you believe we have mishandled your information, you may lodge a complaint with the Information Regulator (South Africa).
